Terms and conditions

  1. General provisions
    • The organizer is the association GAP e.V..
    • The general business conditions as well as terms and conditions of the organizer and the law of the Federal Republic of Germany . Place of fulfilment and jurisdiction is the place of business of the association GAP e.V..
    • The participant is aware of the risks of an event of this kind. Participate at your own risk.
    • The organizer does not take care of a single sex accommodation.
    • Receipt of registration fee applies as the entering into the contract of participation. All other agreements and amendments to the participation agreement or the terms and conditions must be in writing and only obtain validity after written confirmation from the organizer.
    • The production of sound, film and video recordings is object to clarification.
    • Salvatorious clause: The effectiveness of the terms and conditions will remain unaffected by the possible invalidity of individual points.

  2. Registration, non-acceptance, rejection, withdrawal and exclusion from the event
    • Registration for the GAP e.V. is individual and is not transferable. The number of participants of the event is limited. The registration is complete until the completed fully and in all conscience registration form has been received including required documents, as well as receipt of the participation fee to the organizer.
    • Participants who have not completed the 17th age need their parents to sign a written consent. They can be excluded from certain field trips because of conditions of third parties.
    • The organizer reserves the right to exclude participants without giving a reason. In this case, already paid participation fee will be refunded in full.
    • The organizer reserves the right to cancel the event for any reason. Under these circumstances, paid contributions will be refunded in full. In this case, further claims are excluded by the participant.
    • In case of cancellation of the participant to at least 14 days before the event the registration fee will be refunded to 50%, to at least 28 days before to 75%. The rest will be retained as compensation to cover expenses already incurred.
    • Participants who do not show up on the event, resign later than 14 days before the start of the event, are excluded the organizer due to 5. paragraph 3, who withdraw their own decision or because of objective reasons are not entitled to a refund of the participation fee.
    • The participant excludes any claims arising due to delivery problem of third parties, late registration or shortages of t-shirts.

  3. Participation fee, late payment
    • Payment of registration fee is made by wire transfer to the specified bank account specified in the registration confirmation. In case of arrears the application shall be deemed not valid. Following from the delay benefits of early registration may expire.
    • Costs arising from the manner of payment of the registration fee, or arising from errors in the payment procedures, which are not the responsibility of the organizers are to be borne by the participant. This applies particularly, but not limited to, bank charges and for theft from unsecured correspondence remittances. When paying for third parties, and collecting payment for several participants the payer shall be liable jointly and severally.

  4. Field trips
    • The field trips will be assigned upon receipt, if possible, as requested.
    • The number of seats for each field trip is limited.
    • In the case of physical features the participant has to ask whether this can be considered in the desired excursion.
    • If complications occur regarding a field trip, the organizer reserves to delete them.

  5. Security
    • The participant is obliged to prevent situations for themselves, others and the environment that are harmful or defamatory. These include in particular but not exclusively, the use of open fire and excessive alcohol consumption.
    • The instructions of the organizer and its agents, in particular the hall staff and security officers are to be followed.
    • Participants who are, opposed to the instructions of the organizer and its agents, to endanger persons or material objects deliberately or through gross negligence, will be immediately excluded from the event without refund of any costs and interest in the participation fee and without obligation of the organizer to care for departure from the venue. Claims and demands of the organizer are not affected by the exclusion.
    • In the hall drinks, street shoes, use of the equipment of the hall and open fires are strictly prohibited. The hall regulations are to be obeyed.

  6. Liability
    • The participant is fully responsible for damage arising to or by himself. The liability of the organizer for personal injury and property damage is limited to gross negligence and intent of the organizers.
    • An insurance policy on the part of the organizer exists in an appropriate context.

  7. Note to the Federal Data Protection Act
    • The participant agrees that his personal data is collected on receipt of his application as a file and stored until further notice.
    • A transfer of personal data of users to third parties does not take place. However, it is explicitly pointed out that as an exception to this rule upon the occurrence of arrear in payment of undisputed claims (enforcement order, uncontested court order, uncontradicted reminder after two weeks) a notice or information will be provided to another operator pursuant to § 28 paragraph (2) 1.a ) BDSG, as far as to protect the legitimate interests of the organizers seem necessary.
    • The organizers would like to emphasise that the protocol transmits data unencrypted. In any call recording of the traffic all claims of the submitter are excluded.
